This lesson explores the marketing module's connection with WebHub.

  • WebHub plays an important role in preparing your system data for accurate reporting in the Marketing Module. This is especially if you are regularly using WebHub to manage Patron Details.
  • Click on the Patron Tile to bring up Patron Search. Search for a Patron and that brings up their details. Just as we can enter details into the desktop Patron Window we can also enter some of those same details into WebHub.
  • The Patron Profile tab in WebHub has some options which relate to filters in the marketing module, such as Patron Type and Category. Patron Custom Attributes may also be edited and saved on the Patron Profile tab.
  • On The Patron Privacy Tab in WebHub Privacy Options may be changed, but as with the desktop, we may only change these with the verbal or written permission of the patron.
  • The Members tab in WebHub allows us to read but not edit details apart from assigning volunteer roles.
  • The Relationships tab allows us to add patrons to Group Attributes via a checkbox
  • Under Relationships on the Relationships tab we can also add Patron Relationships, but only those that have been added in the Administration Module or via the Administration Tile > patrons > new relationship type > save. Only these relationships will appear in the dropdown menu.
  • The Communication tab allows you to record notes of communications with the patron.
  • The Marketing Tile in Web Hub directs us to only a little of the functionality of the desktop marketing module. Click on the Marketing Tile in your organisation’s Web Hub and the next tiles you will see are the Query Builder Tile and Patron Groups Tile.
  • The Query Builder tile offers access to a very paired-down version of the Marketing Module Query window. Internal or built-in groups such as TopN or the Production and Performance filters are not there. The team describe it as a ‘look-up feature’. It could be a quick way of seeing a list of everyone in a particular segment.
  • We do not recommend using the Member group filters as at the moment there is no further filtering of these available in WebHub, for example, in regard to current or past sign-ups.
  • The Query Builder in WebHub has a conjunction setting rather than the ANY or ALL that we see in the Desktop Marketing Module Reporting Window. And equates to ‘ALL’ and ‘Or’ equates to ‘ANY’.
  • It is not possible to download reports from the Query Builder in WebHub. You could click the details button on any patron to access their Patron details. You could also use the filter field to look up particular names.
  • Only the Desktop Marketing Module can produce downloadable reports and create segments.
  • Click on the Patron Groups Tile and a list of all your organisation’s patron groups will appear. Up the top of the Patron Groups you will see there is an Add button. Click the Add button to make a new group. You’ll see normal, self-opt or subscriber in the dropdown menu options. We don’t recommend making subscriber groups in WebHub as there isn’t the full functionality available to set things up. Create a normal and/or self-opt group, close and reopen the reporting window in the Desktop Marketing Module and see the group/s appear after you have created them in WebHub.
  • Click the Edit button on a Patron group in WebHub to see who the Patrons in the group are.
  • Click Details beside any Patron in this list and it will bring up their Patron record. The Remove from group button will remove the Patron from the selected group
  • The CSV button in the Patron Groups list allows you to download a CSV file of the selected group.
  • The Delete button will delete the selected group (but not the Patrons in that group!)
