This lesson explores report outputs and explains how to save and download files from queries.
Key Points:
- Report output options are located on the bottom left hand side of the reporting window.
- Mailing Labels is better replaced by the Mail Merge feature - we recommend using that.
- As soon as Contact List is selected, options defaults to Alphabetical order and the rest of the options are deselected. The Contact List report output produces a list of patrons with their addresses, phone numbers, and email address where possible.
- The Export button allows you to export reports as PDF, Excel Document, CSV, XML, Word, Powerpoint, HTML or XPS file. As soon as we have chosen our method of export, a window will pop up asking us where we want to save to and what our file name is. Select Web File and save the file. It should download straight to your browser, and from there, you should be able to open it and choose where to save it to.
- Mail Merge is a feature offered by many word-processing and email applications such as Microsoft Word, Outlook and Google Docs. It is a process used to create a batch of personalised documents, for example, creating a mail out which starts with Dear <First Name>. That <First Name> is a merge tag which draws the first name of each individual patron out of the list of names in the merge file. Click Go on a Mail Merge query and the saving window pops up, we can save to web file, and open as a CSV which will be used as the specifically tailored data source for the mail merge.
